Creating Production Tasks in Salesforce: FEWD

Training Objectives/Goals

At the end of this session, you will have a better understanding on how to create an effective production task.

Best Practices

Our goal is to write clear tasks and to provide our teammates with every resource they need to complete the task well.

  • Always write the task as if the person receiving the task has never seen the website. Many times, they have not seen the website.
  • Explain simply.
  • Have a task flow. Start from the changes needed for the above the fold then work your way through.
  • Zip-up large batches of files and upload to Dropbox or Google Drive. You can then share the link. Make sure the permissions allow “anyone with the link” to access so they’re not scrambling at 3am our time trying to get access to files. It’s under Advanced Settings. http://prntscr.com/9scecv
  • If you don’t know how to describe something, use visual aids like https://jam.dev/s https://app.prntscr.com/en/index.html or https://snipboard.io/. Showing is better than telling.
  • Say hello and thank you. Build relationships with Production and you will see better results in communication and execution.
  • Don’t cut and paste client emails. Rewrite and filter what the client says. It is your responsibility to simplify your clients’ requests.

FEWD

FEWD stands for Front-End Web Development

A front-end web developer is responsible for creating and maintaining the front-end requirements of a website.

What do they do?

  • Homepage Agent Pro set ups (if it is switching themes)
  • Homepage and inner page design conversions
  • Add and update site content (example, your client wants to change their bio, rename a tab, add a photo, change the hover colors, fixing links etc)
  • Ensure site compatibility across required browsers.

Naming Convention

  • FEWD - Initial Homepage Conversion
  • FEWD - Minor Revisions
  • FEWD - Major Revisions
  • FEWD - About page Minor Changes

Helpful Tips when Tasking

Apart from the standard naming convention we use, it is also highly recommended that you name the tasks more precisely (e.g. instead of FEWD - Minor Update, consider FEWD - Welcome Text Typo, FEWD - Communities Update, FEWD - About page etc.)

For longer tasks: FEWD: Major Revisions/Changes should be good.

For super long tasks: consider breaking these down to smaller tasks. sub

When tasking out, make sure to include the related page links. This way, the assigned developer will immediately know what the request is in reference to.

Examples:

Set the Due date 2 days out. For VIPs, Escalated Clients or Brewing Escalations, ask your managers to set these in high priority.

Who should I assign tasks to?

  • Dayshift: Rachel Narral(aka RBN)
  • Nightshift: Arvin Calvadores(aka Vino)

Generally, our FEWD tasks are assigned to the dayshift production team. However, there are cases where we need urgent tasks done (ie. escalations, VIPs, quick updates, minor edits). These could be assigned to the night shift production (NSP) team.

Notes:

  • Labor-intensive tasks must be assigned to the morning shift unless they are escalations or crucial. Talk to your manager to check if NSP can accommodate your major task.
  • NSP’s focus is to work on quick/minor/priority edits.
  • No homepage/inner page design conversions for NSP unless the production managers approve.
  • To ensure tasks get accommodated by our NSP team, ask your managers to mark these to high priority.
  • Before promising your client a same-day turnaround time, coordinate with your managers and/or Rachel/Arvin first.

Task Due Date

The due date for FEWD tasks is always 2 business days out, whether they are high priority or not. If something needs to be done sooner than that, ask your managers to tag it as a high priority but keep the Salesforce turnaround time to 2 days.

FEWD Task priority order:

  1. VIP/ESCALATED - HIGH Prio
  2. Non-VIP - HIGH Prio
  3. VIP - NORMAL Prio
  4. Non-VIP - NORMAL Prio

Tasking Cutoff Time

  • DAY SHIFT Cutoff Time: 6:30 AM MNL / 3:30 PM PST
  • NIGHT SHIFT Cutoff Time: 6:00 AM MNL / 3:00 PM PST (as bandwidth allows)
