Creating Production Tasks in Salesforce: CID

Training Objectives/Goals

At the end of this session, you will better understand how to create an effective production task for our Content Integration Department.

CID

CID stands for Content Integration Development

What do they do?

  • Initial Setup for template sites
  • CID is responsible for content migration (must have an opportunity for this). See Product Scope
  • SEO content transfer (must have an opportunity for this)
  • Site crawl and 301 Redirect Tasks
  • Create Hotsheets/Market Reports

Naming Convention Examples

  • CID - Initial Site Set up
  • CID - Create 5 hotsheets
  • CID - Migrate 10 listings
  • CID - Crawl Site
  • CID - 301 Redirects
  • CID - Upload Content

Who should I assign tasks to?

  • Dayshift: Wenda Roxas
  • Nightshift: Nada. All CID team members are on the morning shift.

Anything that needs to be prioritized must be approved by your managers. Due date should be 2 days out, including priority tasks.

Notes

  • Assign labor intensive tasks ahead of time. This includes site crawl and content migration. Some sites are content heavy and require long hours/days to complete.

  • Before promising your client a 24 hour turnaround time, coordinate with your manager and/or Wenda first.

  • Blog Posts Migration: We need to be efficient. If the client’s current site is in WordPress (WP) and we need to carry over blog posts, task this out to WAD instead (we’ll need the username and password to their live WP site). They can do a database-to-database export/import of content vs manual upload for CID. If the client’s site is non-WP, CID will need to manually add these to the site. You’ll need an opportunity for this (unless you are handling an AI Reserve client).

Best Practices

Our goal is to write clear tasks and to provide our teammates with every resource they need to complete the task well.

  1. Always write the task as if the person receiving it has never seen the website. Many times, they have not.
  2. Explain simply.
  3. Have a task flow. Start from the changes needed for the above the fold then work your way through.
  4. Zip-up large batches of files and upload to Dropbox or Google Drive. You can then share the link. Make sure the permissions allow “anyone with the link” to access so they’re not scrambling at 3am our time trying to get access to files. It’s under Advanced Settings. http://prntscr.com/9scecv
  5. If you don’t know how to describe something, use visual aids like awesomescreenshot, https://jam.dev/s, https://app.prntscr.com/en/index.html or https://snipboard.io/. Showing is better than telling.
  6. Say hello and thank you. Build relationships with Production and you will see better results in communication and execution.
  7. Don’t cut and paste client emails. Rewrite and filter what the client says. It is your responsibility to simplify your clients’ requests.
