At the end of this session, you will have a better understanding on how to create a production folder.

Production Folder Creation

One of our goals is to make our clients’ lives easier. And one way to do that is by staying organized.

Prior to your initial design meeting, make sure to create a folder in our Shared Cloud account. Select the client’s purchased product and create a project master folder.

No access? Ask your manager.

Folder Naming Convention: Project Number - Domain Name or Project Number - Domain Name - Client Name (123456 - mydomainname.com - JohnDoe)

Then create a subfolder. This subfolder should have permission set to: Anyone with the link can edit. This way our production team will have access to upload files. sub

Once done creating the project master folder:

  1. Create a subfolder and share this with the client. This is what the client will use to dump their bulk files. We have a template for this in our Salesforce VIP DS folder (Included in Post design meeting reminders email. There’s also a standalone template for this).

    Very important: Make sure the client only has access to the subfolder and not the project master folder.

  2. Attach the project master folder link to your Salesforce project. sub

Pro Tips!

  1. Some clients are not familiar with Google Drive so provide other ways for them to send you files ie. Dropbox or Email Attachments.
  2. Make sure to upload files sent by client through email or Dropbox to the GDrive file folder. This way our production team can easily access them as needed.
  3. When clients send multiple files, make sure to organize them into subfolders and label accordingly. This way, our production team can easily find the materials needed. sub
