Post Design Meeting for Agent Pro/Template Websites

At the end of this session, you will know how to proceed with the next steps after the design meeting.
I’m done with the design meeting, what now?
1. Breathe (after the call)
- Whether it was a brief or a long call, pay yourself on the back for completing your design meeting. Breathe and stretch.
2. Organize your notes and Document the Call in Salesforce (after the call)
- Remember the golden rule of Project Management: If it is not in Salesforce, it didn’t happen.
- Make sure to log your call in Salesforce. Add any relevant notes.
- From Project Level>Activity History>Log a Call

3. Send your Post Design Meeting Reminders (after the call)
- Use the template in Salesforce VIP DS Folder and customize accordingly. Only include items that you and the client discussed.
- If you promised to send the client ie. additional information on something or perhaps the video guidelines, make sure to follow through.
4. Start drafting the initial site set up
- It takes 2-3 business days for the CID team to complete an initial site setup. Thus, we must queue the initial task soon after the initial design meeting. The longer you wait, the higher the chances of you forgetting what transpired during the call.

Pro Tips!
Unless it is a crucial branding asset, do not wait for the client to provide you with materials.
- Use placeholder images, but mind your photo selection. If a client is in Florida, choose related images (and not farms, etc.). If your client is into luxury real estate, choose high-end images, etc.
- If your client has an existing site, get your info from there.
What if…?
My design meeting only took 5 minutes because the client rescheduled.
Did you get a new meeting schedule? If so, alert your managers so we can update the design meeting calendar for you. Log your call!
We were in the middle of our meeting and the client had to leave due to a prior engagement.
Do you have sufficient information to get started on an initial design task? If so, get going! If not, make sure you reschedule with the client at their earliest convenience. Log your call and inform your managers.
I didn’t even get the chance to ask questions. Client wanted to cancel and refund.
Acknowledge the request and inform your client that our Client Relations Team will get in touch with them for the cancellation processing. Do not promise any refund. Log your call and inform your managers asap.
